LunchTrolley is operated by Parker Howard, a sole trader registered as HOWARD, PARKER, ABN 88 206 778 370, trading under the registered business name LunchTrolley. In these terms, "we", "us" and "our" mean that business. "You" means anyone who uses lunchtrolley.com.

By using LunchTrolley you agree to these terms. If you don't agree, please don't use it.


1. What LunchTrolley is, and what it isn't

LunchTrolley is software for organising a group lunch order at a workplace. One person — the coordinator — sets up a round for a chosen vendor and shares a link. Their colleagues each choose a meal. At a set deadline ordering closes, the coordinator places one order with the vendor, and everyone pays the coordinator back directly.

Four things follow from that, and they matter more than anything else in this document:

  • We never receive, hold, transmit or refund money. Not at any point. Payments happen directly between a colleague and their coordinator, through their own banks, entirely outside LunchTrolley.
  • We do not sell, prepare, handle or deliver food. We never take possession of anyone's lunch.
  • The coordinator buys the food, in their own name, from the vendor. The contract for the food is between the coordinator and the vendor. We are not a party to it and have no control over what the vendor makes, how long it takes, or whether it is any good.
  • What we supply is record-keeping and coordination: collecting each person's choices, working out what each person owes, showing them the payment details their coordinator gave us, letting both sides record what they say happened, and producing the order sheet for the vendor.

2. LunchTrolley is free

There is no charge to use LunchTrolley. No subscription, no setup fee, and no platform fee added to anybody's order. What a colleague owes their coordinator is the price of the food they chose, and nothing else.

We may in future offer to handle payments within LunchTrolley. If we do, it would work as a small service charge on each order rather than as a subscription — and it would be something you choose to switch on. It would not change how an existing round works, and these terms will be updated before it becomes available.

3. Who can use it

You must be at least 18 to be a coordinator. A coordinator collects and holds other people's money, which is not a responsibility to hand to a minor.

You must be at least 16 to place an order.

You must give accurate information — in particular a real first and last name and a working email address, so your order can be identified, so your coordinator can match your payment to it, and so we can send you what you need in order to pay.

4. Money

4.1 We are not in the middle of it

Every payment is directly between a colleague and their coordinator. We do not process it, receive it, hold it, see it, or have any way to reverse it. There is no LunchTrolley account holding anyone's money, because there is no LunchTrolley account.

That has a consequence worth stating plainly rather than burying: if something goes wrong with a payment, we cannot fix it with money. We can show you the record of what was ordered, what was owed, what was said to have been paid and when. We cannot refund you, because we never had it.

4.2 Payment details

A coordinator tells us how they want to be paid — a PayID, bank account details, cash, or a combination — and we show those details to the people who ordered in their round.

We do not verify payment details. We do not check that an account exists, that it belongs to the coordinator, or that it is the right one. We check the shape of what was typed and nothing more. If the details look wrong to you, or the account name is not the name of the person you expect, stop and check with them in person before sending anything.

4.3 "Paid" and "confirmed" are things people say, not things we know

A colleague can mark an order as paid. A coordinator can confirm they have received it. Both are statements by a person, recorded by us. Neither is a verification, and neither is evidence that money moved. Your bank is the record of whether you were paid. LunchTrolley is the record of what everyone said.

4.4 Tax

Coordinators are responsible for their own tax position. The food money passing through you is not our income and, in the ordinary case, is not yours either — but we are not your accountant, and you should get advice if you are unsure.

5. The deadline

Every round has a hard deadline, set by the coordinator. It is decided by our servers, not by the countdown shown in your browser — the countdown is a convenience and may be wrong if your device's clock is.

When the deadline passes, ordering stops. An order placed before the deadline is in the round whether or not it has been paid for; paying late does not remove you, and paying early does not guarantee anything beyond what you ordered.

6. Changing, withdrawing, and a coordinator editing your order

You can change or withdraw your order until the round closes. After it closes, the coordinator is buying the food and it is too late.

A coordinator can edit an order in their own round, including yours. If they do, we email you what changed and what you now owe. If you had already paid and the total went up, you owe the difference; if it went down, your coordinator owes you the difference back. We tell you which, and we cannot move that money for you.

If you withdraw after paying, your coordinator owes you your money back directly.

7. If a round doesn't happen

If a round is cancelled — the vendor is closed, the coordinator can't make it, the order is never placed — anyone who has already paid is owed their money back by the coordinator, personally and directly.

We will tell everyone in the round that it was cancelled, and we will tell anyone who had paid that they are owed money. That is the limit of what we can do. We never held the money and we cannot return it.

8. Coordinator responsibilities

Running a round means holding other people's money, briefly. If you run one, you agree to:

  • Actually place the order you collected money for, and pay the vendor for it;
  • Pay people back promptly if the round doesn't happen, if someone withdraws, or if you edit their order downward after they have paid;
  • Give payment details that are your own — an account you control, in your own name or one you are entitled to use;
  • Set an honest deadline and an accurate menu, including accurate prices;
  • Pass on what people ordered, including allergy and dietary notes, to the vendor;
  • Not collect money for a round you do not intend to fulfil.

Collecting money from colleagues and not buying the food is fraud, and it is a matter for the police. We are not a payment provider and have no ability to reverse a transaction, freeze funds or recover anyone's money. What we can do is close your account, and provide the record of the round to the people affected and to law enforcement if they ask for it. See the Payments and Disputes policy.

9. Food, allergies and safety

We do not make the food and we cannot vouch for it.

If you have an allergy or a dietary requirement, tell the vendor through the notes on your order — and if the consequences of getting it wrong are serious, contact the vendor directly. A note typed into an app passes through at least two people before it reaches a kitchen. Please do not rely on it alone for anything severe.

Complaints about food quality, accuracy or safety are matters for the vendor, and in the first instance for the coordinator who bought it.

10. Acceptable use

Don't use LunchTrolley to break the law, to defraud anyone, to harass anyone, or to attack the service. Don't attempt to access orders that aren't yours, probe for other people's data, or misrepresent whose payment details you are publishing.

Coordinators can email everyone who ordered in their round. That is for messages about that lunch. It is not a mailing list, and using it for anything else — marketing, campaigning, newsletters — is a breach of these terms and of the Spam Act 2003 (Cth). Every such message carries an unsubscribe link, and we honour it.

Share links identify a round. Anyone with the link can order from it. Don't share one more widely than you intend.

11. Availability

We aim to keep LunchTrolley running, but it's software, and we don't promise it will be uninterrupted or error-free. We may need to take it down for maintenance, occasionally without notice.

12. Australian Consumer Law

Nothing in these terms excludes, restricts or modifies any consumer guarantee, right or remedy you have under the Australian Consumer Law that cannot lawfully be excluded. If any part of these terms would do so, that part does not apply to you.

Our services come with guarantees that cannot be excluded under the ACL, including that they will be supplied with due care and skill. Where we are permitted to limit our liability for a failure to comply with a consumer guarantee, we limit it to resupplying the service or paying the cost of having it resupplied.

13. Liability

Subject to clause 12, and to the extent permitted by law:

  • We are not liable for the acts or omissions of coordinators or vendors. In particular, we are not liable for a coordinator who takes money and does not buy the food, who pays the wrong person, or who fails to pay anyone back. We are not a party to that payment and have no means of preventing or reversing it.
  • We are not liable for money sent to incorrect payment details, including details a coordinator entered wrongly or details that were not theirs to give.
  • We are not liable for indirect or consequential loss, or for loss of profits.
  • Because LunchTrolley is free and we receive no money from you, our total liability to you for any claim connected with a round is limited to resupplying the service.

We do not limit liability for fraud on our part, or for anything else the law does not allow us to limit.

14. Ending your use

You can stop using LunchTrolley at any time. Coordinators can ask us to close their account; we'll do it once any open rounds are closed, because closing an account mid-round would leave colleagues with no record of what they owe or to whom.

We may suspend or end your access if you breach these terms, or where we reasonably suspect fraud.

15. Changes to these terms

We may update these terms. If a change materially affects you, we'll give notice by email or in the app before it takes effect. Rounds that are already open continue under the terms that applied when they were created.

16. Governing law

These terms are governed by the laws of New South Wales, Australia, and you and we submit to the non-exclusive jurisdiction of its courts.
